Responsibilities:
Accounts & payroll
• Manage payroll & pensions process including any adjustments required (expenses/bonus), and maintain payslip portal access for all employees
• Conduct daily / weekly / monthly banking activities, processing bill payments, and maintaining operating cost receipts
• Manage monthly invoicing run for all retained and ad-hoc billings (posting invoices to partners as required), reconciling payments received in accounts software (QuickBooks)
• Manage the paperwork for partner onboarding / offboarding including contracts, addition to accounts software, invoicing, and recurring templates
• Liaise with internal teams and project leads on invoicing for clients
• Review outstanding debtors, chasing as appropriate and escalating via bad debt process
• Flagging upcoming contract renewals, and preparing new contracts for existing partners as required
• Produce required management reports (debtors aging summary report, profit & loss, VAT, payroll costs, financial summary for monthly Business Update etc.)
Office Admin
• Monitor building access (alarm & keyholder logs), office visitors log, and staff desk booking systems
• Maintain office condition, organising cleaning, repairs, fire safety, meter reads, electrical testing, and adequate insurances where necessary
• Maintain office supplies including stationery, equipment, and refreshments (milk / tea / coffee)
• Book approved training / events, travel, and accommodation as required
• Organise staff lunches / catering for partner meetings as required
People & Culture
• Run employee of the month survey within Herd HR portal
• Support the people & culture team
• Booking Herd team socials & event
